Auto-anonymization - new add-on available in TRAFFIT!

According to the GDPR (General Data Protection Regulation), candidates for jobs should be anonymized when the consents they gave during the recruitment process expire. That's why we've decided to allow TRAFFIT users to automate this process - so that they can be sure that the candidates' data and consents are always up-to-date!

Automated candidate anonymization guarantees GDPR compliance and the security of the personal data of candidates processed in the ATS. It also saves time spent on monitoring and manual anonymization of candidates whose consents expire. And, as you know, time is money ๐Ÿ˜‰

How does it work?

It's pretty simple.

You just set up the rules for auto-anonymization in the settings, and TRAFFIT will do all the work. You can monitor the queue of candidates to be anonymized in a dedicated tab:

Each time you see a candidate there, you can:

  • manually add a new consent
  • sent them a consent update link

if you still want to keep the profile in your talent pool.

Selecting default workflow, saving drafts of notes, "Jobs" filter optimized, and more!

We have been working at full steam recently to deliver many cool optimizations. And here they are!

What's on the list?

You can now choose your default workflow - this will be selected on the workflows list when creating a new job. The default workflow will be tagged on the list of workflows in your settings for you to easily find it:

What else?

Now, when the system is reloaded, all the notes you create:

  • on the candidate profile,
  • on the stage preview,
  • when browsing a particular candidate profile in the job

are saved as drafts so that you won't lose any of your work ๐Ÿ˜‰

We have also optimized the Jobs filter on the candidates' list. We have split it into two filters to give you more options for filtering candidates. The set of separate filters: Jobs and Stages allows you now to search for candidates in multiple scenarios, like candidates:

  • assigned or not assigned to specific jobs (including open and closed jobs),
  • who recently are (or have ever reached) a certain stage in a job
  • moved to a certain stage in a defined time range by selected users,
  • who are assigned to jobs for a specific client (if you are using the CRM module)
  • who are now on a specific stage and were moved to it by a selected user last week,
  • ... and more!

In order to avoid problems with generating previews of candidate's documents in PDF we have implemented a new PDF viewer. If, by any chance, the previous PDF viewer worked more smoothly with your browser - you can go to your user settings and switch back to it:

Right-click on the lists, new users notifications based on time limits & more!

The product team has been bustling lately, optimizing TRAFFIT! Let's check, what are the new options available for TRAFFIT users ๐Ÿš€

When working on the lists, you can left-click to open the candidate profile or a job in a new tab inside the system. Since now you can also use right-click - this way, it will also open in a new tab, but you will stay in the view of the list. It's really helpful when working on lists and opening multiple tabs one after another!

Cool, huh? ๐Ÿ˜Ž

The next improvement relates to in-app notifications sent when the candidate is moved to the next stage and stays on it too long. Previously, this notification was sent 24 hours after the stage transition if no other change was made. Now you can set up the notification if the candidate:

  • exceeds the stage limit you've set up in the workflow settings, or
  • the last stage transition took place two days ago, and no further transition was made (if the time limit is not set)

Sharing the candidate's profile with the Hiring Managers was also optimized. The new setting allows one to choose the shared candidate profile validity. There are two options:

  • 30 days - the link will expire after 30 days,
  • Until the candidate is moved to another stage or 30 days - the link will expire after 30 days unless the candidate is transferred to the next stage. In such case, it will expire sooner (when the transition is made)

What else?

Those, who use the CRM module, can now use a Client status with a dedicated dictionary with the following values:

  • Active
  • Inactive
  • Prospect

(this list can be supplemented with additional values in the dictionaries). Why is that important? With lots of data in the system, we will exclude the clients with Inactive status in all the select fields, where you can see a dropdown list of clients.

Likewise, only active contacts will be listed by default when listing the contacts in the CRM.

Our users might also like the new and refreshed view of Send SMS feature:

Some improvements were also implemented on the editable data grid (available for Elite users)

When entering the editable data grid on the list of candidates at a particular stage in the job, you can now switch to the list of candidates at a different stage without leaving the editable datagrid view:

Stage transitions in this view are much easier now, as you can bulk change stages from the editable data grid view!

We are happy to announce the launch of the BETA version of our new recruitment reports in TRAFFIT ๐Ÿ’ช

We know how vital recruitment data analysis is for business. The new TRAFFIT recruitment reports will help to make the right decisions, optimize recruitment budgets and keep your fingers on the pulse of your recruitment.

What new reports are now available in the ATS?

Current pipeline - allowing you to check how candidates are distributed in your pipeline at the moment.

Application sources - helping you to recognize the best-performing application sources (including UTMs) to optimize your candidates' acquisition strategy.

Application flow - checking the performance of your hiring workflow - analyzing application handling and particular stages KPIโ€™s.

Stage details - digging into some detailed insights into stages candidates were moved to in a defined time range.

Job posts performance - tracking job posting-related activities and analyzing their outcome to discover the best-performing ones.

Rejections - discovering the most common rejection reasons and their correlation with application sources and stages

What has changed?

New in-app notifications and even better control over Talents and activities!

The latest update included tons of valuable changes and optimizations!

Some of them included permissions - there is a new permission for managing Talents. The administrators are now able to:

  • manage all Talent groups (even if they are private),
  • change private Talents to public ones,
  • share them with other users.

Along with the permission change, sharing Talents has also been optimized. For public Talents, sharing them means giving other users ownership over them. For private Talents, there are three access levels available when sharing them - giving the users the following options:

  • read only
  • read and assign
  • owner (allowing to share and edit)

But there are more new permissions!

Now users can have permission to edit and delete notes and activities created by other users. Only the creator of the note or the activity could do it so far. All Administrators permission have this option now and can allow that also to users in other permission groups:

What more?

The transitions of the candidate between the stages are now more consistent. No matter in which view the transition is performed - the user will always see the previous and the following stages he can choose from. We have removed the Restore button to clarify what will happen with the candidate if he is moved back to the process from the Rejection, Hired, or Pending list stage!

We have optimized the notifications view. Now, our users can easily manage the read and unread notifications (divided into separate tabs). Not all notifications are transferred automatically to the summary! The informational ones (like when the data export has started) are visible to the user until he closes them.

Responsible people in a job are now divided into Users and Hiring Managers, making the list more clear:

Restrictions tab was removed from the permission groups configuration. All the options visible in it were distributed to other tabs, where they belong ๐Ÿ˜‰

Last but not least, there was a small CRM module change. The contact person status is now an irremovable field, and it was changed from a checkbox to a choice field.

Application sources unification and in-app notifications improvements

The latest update of your TRAFFIT significantly improved your recruitment data analysis! How?

The team has made changes that merge the identical sources of candidates' applications. What does it mean exactly? So far, some application sources have been saved in the ATS as a full link. This way, the exact source of the application was presented on the lists and in the reports as a slightly different link. Now, when merged, the efficiency analysis of particular application sources is much easier ๐Ÿ™‚

Any examples?

Let's say you post your jobs on social media, like Facebook. Applications from these job postings had multiple different sources, for example:

mobile.facebook.com

www.facebook.com

Now, all these will be merged and will be visible in the system with "facebook.com" as an application source:

We used this update also to implement some changes in the in-app notifications.

We have removed the "Snooze" button that was visible on the notifications. Instead of that, the informational notifications (like the one about the export process being started) remain open until you use the "x" button to close them.

Others, like the one informing about the finished export, will hide automatically (or you can hide them manually). They will be stored in the Notifications summary as unread - in case you want to get back to it and download the exported XLS file later.

The counter on the Notifications summary will allow you to stay up-to-date with all the unread notifications!

Moreover, Hiring Managers can now download and print the documents attached to the candidates' profiles you have shared with them. On the other hand, the user who doesn't have permission to download the candidate's files will now not be able to print it or open the document in a new tab.

Some fixes were also released with this update.

We have fixed the content of the e-mails that were not always displaying correctly in the Gmail mobile app.

We have also removed the duplicated notification when the candidate re-applied. Now, when a candidate applies again, you will not receive two notifications (about new application + about reapplication), but just one ๐Ÿ˜‰

Mentioning Hiring Managers improved, along with Linkedin job-posting enriched

We are excited to announce some more improvements in your TRAFFIT, just like we've promised in the previous News ๐Ÿ˜‰

Sometimes you want to mention your Hiring Manager in the candidate's quick preview in a job. Still, you have to remember to assign this Hiring Manager to the job for him to be able to enter the candidate's profile where he was mentioned.

Not anymore! ๐Ÿ˜Š

Now, when you mention the Hiring Manager in a note, your TRAFFIT will check if he is assigned to the job you are previewing. If not, it will ask you if you want to do it to allow him to visit the commented candidate's profile:

Due to some changes in Linkedin Jobs, we have enriched the job posting on this portal. We have removed the existing "remote" default value and enriched the job posting with a new field, allowing you to choose one of the following values:

  • on-site
  • hybrid
  • remote

That's a massive step for the clarity of your job's details on Linkedin ๐Ÿ’ช

Did we mention enabling huntoo for all plans? Yes, that's a huge change! Previously available only for Elite plans, now huntoo referral platform is available for users in all plans!

We decided to squeeze in also some fixes with this update!

If you noticed that some .DOC files from your TRAFFIT were downloaded in .PDF format, we can confirm this issue is already fixed! In addition, we've also resolved the problem of downloading the file from TRAFFIT when it was opened in a separate tab in your browser.

huntoo - referral platform improvements

This is the first update of huntoo referral platform integrated with TRAFFIT since it was launched in September. Thank you for all your feedback and insights that allowed us to implement the following improvements ๐Ÿ˜

From now on, you and the referrer will be notified via e-mail when a referred candidate is hired ๐Ÿ’ช It will also be sent to a candidate registered in huntoo that applied directly!

To make sharing the lists of jobs with referrals easier, we have introduced direct links to specific lists:

https://huntoo.io/job-offers/all - redirecting to the full list of jobs posted on huntoo

https://huntoo.io/job-offers/external - redirecting to jobs, where everyone can be a referrer and get a bonus

https://huntoo.io/job-offers/internal - redirecting to employee referrals (available only for registered users, with an e-mail domain indicated by you in huntoo settings). You can for example share it in your internal newsletter for the employees to keep them up-to-date with all the vacancies where they can refer a friend and earn ๐Ÿ’ฐ

What else?

  • Improved password change for huntoo users using Google login,
  • Change of font styles in job posts on huntoo (to keep consistency with the rest of the page),
  • Removing the underlining of the links in the job post content.

Introducing e-mail notifications after mentions and more!

We are excited to announce the launch of all the new and amazing improvements ๐ŸŽ‰.

You have to react fast when a great candidate applies. That also means the communication inside of the company, when the team's and Hiring Manager's reactions and decisions affect the length of the whole recruitment process. This is why we've introduced a new e-mail notification, which will be sent to every user and Hiring Manager mentioned in the notes.

This way every mentioned person will be notified via email and can hop on the candidate profile right away! The existing e-mail notifications you have been receiving so far have also been refreshed and look as nice as the new one you see above ๐Ÿคฉ

This new setting is turned on by default, but if you or your Hiring Manager is not an e-mail fan and reacts fast even without any e-mail notifications, you can turn them off in user settings ๐Ÿ˜‰

This part of the system was also refreshed for better clarity. (Where can you find User settings?)

You might also notice that the list of values available in the Candidate source fields has been shortened. Those values, that are connected with TRAFFIT integrations (like Indeed Apply or Talent.com) have been hidden.

Why is that?

That will guarantee that your reports and application sources (especially for those candidates who were added manually) are more reliable.

Some fixes we're introduced with this version too!

We have fixed the issue with loading the list of Jobs the candidate is assigned to on his profile and the structure of user groups in the filters available in reports. We have also resolved the problem with the phone numbers visible on OLX job posts to assure, that if candidates want to reach you - they can do it with one click!

What is more we've got sure, that if you update the names of the end stages in your workflow (Hired, Rejected, Pending list) - they will also be updated in the whole system.

Stay tuned cause we still have some nice improvements that will be implemented this year! ๐Ÿšฆ

In-app notification summary and more improvements are now live!

Hey there,

In-app notifications make you react fast to new messages, applications, and mentions in the system. That's why we've decided to put them on the next level ๐Ÿ˜Ž

All the notifications are now gathered in an in-app summary, divided into Read and Unread. A notification remains unread until you use Clear button or trigger the notification-related action. There's no chance of missing anything important ๐Ÿ˜‰

"Show candidate profile" button redirects you to the summary of the candidate profile or to the quick preview of the candidate in a job; depending on the mention's location:

Since now, Hiring Managers mentioned in notes will also be notified! ๐Ÿ˜ฎ

That's not all! Long text fields content will now be easy to preview from the list - to do it, use the eye icon or just put the cursor to see the full text:

We have also added autocorrection in the text editors so that no spelling mistakes ruin your search in the system ๐Ÿ˜‰

Last but not least - additional confirmation is now required when removing notes, files from candidates' profiles, and calendar events.
